Meeting Room Policy

McKinley Memorial Birthplace Home

The McKinley Memorial Library has two meeting rooms at the McKinley Birthplace Home located at 40 S Main St. Niles, Ohio. Reservations for events will be based on meeting size. Lower Level (LL) can accommodate 12 with tables/chairs, 40 with chairs only. First Floor can accommodate 24 with tables/chairs, 45 with chairs only.

Meeting rooms shall not be publicized to imply Library sponsorship. The library will not participate in promoting an event and using library contact information is prohibited.

This disclaimer must be used in all promotional materials by the responsible requesting party:

“Permission to use meeting rooms does not constitute endorsement for the group or event by the McKinley Memorial Library.”

Room Requests

  • The rooms are available to residents and organizations for free public gatherings of civic, cultural, or educational nature for the general public. Rooms may be booked by the same group no more than 12 times a year at the discretion of the director. Admission fees to events prohibited. Room may not be used to solicit donations or hold fundraisers.
  • Reservation requests may be made up to 60 days in advance, and at least one week in advance.
  • Reservation Request forms may be obtained from the library or by CLICKING HERE. Forms must be completed by the responsible party. May be submitted by fax at 330-652-5788, by email at mckinley@mcklib.org, or in person.
  • Individuals making request must meet the following criteria:
    • Must be 18 years of age or older
    • Must reside in Trumbull County
    • Must have a valid McKinley Library Card in good standing
    • Must remain present during and responsible for groups using the facilities. For juvenile groups, adequate adult supervision is required.

Room Use

  • Duration, and beginning and end times for events are at the discretion of the Library Director/Deputy Director. Groups will not be permitted to enter rooms prior to their reservation.
  • All event set up and cleanup is the responsibility of the group. Library staff will not be responsible.
  • The Library reserves the right to charge for any damage or extra cleaning costs.
  • The Library is able to provide an appropriate number of tables and chairs. Additional requests for equipment may be made when requesting a reservation. See Application for Meeting Room Request form.
  • Decorations are permitted on tabletops. Patrons are not permitted to affix any items to walls. NO balloons, live animals, confetti/glitter or open flames.
  • Light refreshments may be served, all items involved in serving must be supplied by responsible party.

 

All decisions regarding the use of the meeting rooms are at the discretion of the Director/Deputy Director subject to review by the McKinley Memorial Library Board of Trustees.

All people using a meeting room must follow the Library Code of Conduct. See Behavior and Conduct Policy online or get a copy of the brochure at the Library.

Group activities may not interfere with Library business. All activities must be contained within the reserved room.

Failure to comply with any part of the policy may result in the refusal of future requests. The Library reserves the right to cancel reservations for any operational reasons. The Library reserves the right to deny or cancel any future requests.

The Library reserves the right to attend any meeting.

The Library is not responsible for any accidents or injuries resulting from meeting room activities.
